Run Your Meat Stall With Staff: Workers and Per-Worker Cash

The day your meat business grows beyond your own two hands is a proud day and a dangerous one. A second table, a sales boy, maybe a cousin helping on market days. More hands means more sales, and also more places for money to wander. Most stall owners solve this with suspicion: hovering, recounting, quizzing. It is exhausting, it poisons good working relationships, and it still does not actually answer the question of where the money went.

Gazeloft answers it structurally. Workers get their own access with per-space role permissions, float gets tagged to the worker holding it, and per-worker cash lists show exactly what each person's box should contain, today or across any date range. Trust stops being a feeling and becomes a number both of you can see.

The pain: shared cash is unaccountable cash

When two or three people sell into one box, no individual is accountable for anything. A shortage at night belongs to everyone and therefore to no one. Good workers hate this as much as owners do: an honest sales boy has no way to prove his day was clean. Meanwhile the owner cannot delegate properly, because giving someone the stall for a day means giving up all visibility. So the business stays exactly as big as the owner's personal presence, which is the quietest way a growing business stops growing.

What the feature is

• Workers with per-space role permissions. Add each staff member as a worker in your Meat Store space. You control what their role allows: recording sales, collecting debtor repayments, reversing transactions and more. A new sales boy might get sales-only; a trusted senior might get more. Permissions are per space, so a worker in your meat business has no access to any other space you run.
• Add Fund tagged to a worker. When you hand out morning float, record it as Add Fund tagged to that worker. Untagged funds go to the General pool instead. From that moment, the money has a name on it.
• Per-worker cash lists. See each worker's cash for today or a date range: float received, cash sales taken, the total their box should hold. Reconciliation becomes per-person and takes minutes.
• Workers see their own cash boxes. Each worker's app shows their own box figure. Your sales boy can check himself at 2pm, catch his own ₦500 gap, and fix it before it becomes an evening dispute. Accountability that people can see is accountability people accept.

Step by step: setting up workers in the app

1. Open your Meat Store space settings and add a worker with their phone or email.
2. Assign the role and permissions that match the job. Start narrow; widen with trust.
3. The worker signs into the Gazeloft app with their own account and sees your space with exactly the powers you granted.
4. Each morning, record float as Add Fund tagged to the worker receiving it.
5. Workers record their sales as normal through the day: kilo or part, cash, transfer or credit. Every entry carries their identity.
6. At closing, open the per-worker cash list, read out each expected figure, and count each box against it.

Step by step: on the web dashboard

The web dashboard gives owners the supervision view. Open the space, check the per-worker cash lists for today or any range, review each worker's recorded sales, and manage roles. It is especially useful when you are away from the stall: the sales appear as they are recorded, so you can be at the livestock market buying the next cow while watching the stall sell the current one.

A worked example: Emeka and Sani close the day

Mrs Adaeze runs a busy beef stall with two workers, Emeka and Sani.

Morning: she records Add Fund of ₦10,000 tagged to Emeka and ₦10,000 tagged to Sani as change float.

During the day, sales recorded under each worker:

• Emeka: 41 kg of beef at ₦4,500 per kg (₦184,500), a head at ₦25,000, all cash except one ₦18,000 transfer.
• Sani: 28 kg at ₦4,500 per kg (₦126,000) in cash, plus a ₦22,500 credit sale to a canteen, properly attached to the customer.

At closing, the per-worker list says: Emeka's box should hold 10,000 plus 184,500 plus 25,000 minus the 18,000 transfer, which is ₦201,500. Sani's box should hold 10,000 plus 126,000, which is ₦136,000, because his credit sale put no cash in the box. Emeka counts exact. Sani is ₦1,500 short, checks his own list, and remembers an unrecorded small bone sale he took in the rush; he records it, backdated a few hours, and balances. Total time: four minutes. Nobody was accused of anything, because nobody needed to be.

Tips and pitfalls

• Give the least permission that does the job. You can always grant more. Sales recording first; reversals and repayment collection when trust is earned.
• Tag every float. An untagged ₦10,000 in the General pool is fine for shared change, but money in a specific pocket should carry that pocket's name.
• Reconcile per worker, daily. The whole point is that each person closes their own clean day.
• Let workers see their own boxes. Self-checking workers catch their own errors early and take pride in exact days.
• Pitfall: sharing one login. Each worker needs their own account, or the per-worker lists mean nothing.
• Pitfall: punishing recorded mistakes harshly. If an honest recording error earns shouting, workers will stop recording. Fix the entry with a reversal, teach, move on.
