The pain: the "income" that was never income

Friday afternoon, your drawer is bulging with ₦180,000 and it makes you nervous. You take ₦150,000 to the bank and pay it into your float account. Nothing was earned. Nothing was spent. The same money just changed clothes, from notes in a drawer to digits in an account.

But in most notebooks, and in many badly designed apps, that movement gets written as money out or money in, and suddenly your records show a fake ₦150,000 expense or a fake ₦150,000 income. Do that a few times a month and your profit figure becomes fiction. The same problem appears in reverse when you withdraw float as cash to refill the drawer, and again when you inject fresh capital into the business from your pocket.

Money movements come in two kinds: movements that change what you own (sales, charges, expenses) and movements that just change where it sits. A ledger that cannot tell them apart cannot tell you your profit.

What swap and Add Fund are

Gazeloft gives the POS space two purpose-built entries for movements that are not income and not expense:

  • Swap reclassifies money between cash-at-hand and cash-in-bank. Drawer to bank when you deposit your cash. Bank to drawer when you withdraw float as notes. A swap adjusts both ledgers by the same amount and never touches profit. It is a universal entry, so it behaves the same on every Gazeloft space that carries a cash ledger.
  • Add Fund records the owner injecting money into the business: new capital, a top-up from your pocket, a loan you are putting to work. You tag it to hand (it went into the drawer) or bank (it went into the float account). You can also tag it to a specific worker, which matters when different staff hold different cash floats; untagged funds go to a General pool. Add Fund grows your cash position without pretending you earned it.

Between them, these two entries cover every "money moved but nothing was earned" moment at a POS desk, and they keep your profit figure pure.

Step-by-step: recording a swap in the app

  1. Open your POS space and start a new entry.
  2. Choose Swap.
  3. Pick the direction: hand to bank (you deposited drawer cash) or bank to hand (you withdrew float as cash).
  4. Enter the amount.
  5. Save. Cash-at-hand and cash-in-bank move in opposite directions by the same amount. Profit today does not move at all.

Step-by-step: recording Add Fund

  1. Start a new entry and choose Add Fund.
  2. Enter the amount you are injecting.
  3. Tag it to hand or bank, depending on where the money physically went.
  4. Optionally tag it to a worker if this float belongs to a specific staff member's drawer. Leave it untagged for the General pool.
  5. Save. Your cash position grows, your profit stays honest.

Worked example: Blessing's Friday bank run

Blessing closes Friday with ₦180,000 in the drawer and ₦90,000 float, which is too much cash on the street and too little float for Saturday's withdrawal rush.

  1. She takes ₦150,000 to the bank and pays it into her float account. In Gazeloft: Swap, hand to bank, ₦150,000. Drawer: ₦30,000. Bank: ₦240,000. Profit today: unchanged.
  2. Saturday is market day and she expects heavy traffic, so she also adds ₦50,000 from her personal savings into the float. In Gazeloft: Add Fund ₦50,000 tagged to bank. Bank: ₦290,000. Profit: still unchanged, because this is capital, not earnings.
  3. Saturday morning she withdraws ₦40,000 of float as notes at the bank to stock the drawer for deposit customers who need change. Swap, bank to hand, ₦40,000. Drawer: ₦70,000. Bank: ₦250,000.

Across three real money movements totalling ₦240,000, Blessing's profit figure did not twitch once, because she earned nothing and spent nothing. Meanwhile both cash numbers stayed exact, so Saturday night's drawer count will still match the app to the naira. In a notebook, these three lines would have looked like a ₦150,000 expense, a ₦50,000 income and a ₦40,000 income, poisoning the whole week's totals.

The swaps also leave a trail worth having. On the cash history chart in Insights, Blessing's Friday shows a clean step down in cash-at-hand at the exact moment of the bank run, matched by the rise on the bank side. Six months from now, if anyone asks where the drawer money went on any given Friday, the answer is one tap away, with a timestamp.

Tips and pitfalls

  • Never record a bank run as an expense. If your profit drops on a day you only moved money, something was recorded wrong. Swap exists so that never happens.
  • Record the swap when you do it, not at midnight. The dashboard cash figures are only useful if they track reality through the day. A swap takes five seconds.
  • Tag Add Fund to the right place. Money into your terminal account is bank. Money into the drawer is hand. Getting this backwards makes your drawer count disagree by exactly the injected amount.
  • Use worker tags when staff hold floats. If Sunday's worker holds their own ₦30,000 drawer, tag their float to them and the per-worker cash lists stay meaningful.
  • Own money out is not a swap. Swap is only for hand-to-bank movements within the business. Taking your profit home is a different kind of entry. Keep them separate and the ledger keeps its meaning.
